How to Add, Edit, Manage a Resource & Resource Groups

Intro

Let’s look at how to Add, Edit, Manage resources and resource groups within Hub Planner. In this article we will look at how to add resources from

There are multiple ways in which to add new a resource. When we do a Resource Modal will appear. This is where we will fill out and store the Resource information.

Resource Modal

Add A New Team Resource from the Scheduler Sidebar

Add_Resource_SidebarFrom the scheduler sidebar, click the ‘Add New’ tab.  A drop down list will subsequently appear with options to add new resources, projects, groups and unassigned work.  You will see the third option ‘New Resource’.  To add a new single resource and open the resource modal, you have two options here.

  • Option 1 – Click ‘New Resource’ to open the resource modal.
  • Option 2 – If you click the 3 vertical dots on the New Resource tab.  You have two options available to you.   Bulk add resources or add a single resource.    Click ‘Add Single Resource’ to open the resource modal.

Note, you can be in either the Projects or Resources sidebar.

Add A New Team Resource From Settings

How to add a new Team Resource via Settings.

  1. Navigate to the Settings tab at the top right of the interface.
  2. Scroll to the second block entitled ‘Manage’.
  3. Click the first tab ‘Manage Resources’.
  4. The ‘Manage Resources’ modal appears on screen.
  5. Click ‘Add Resources’ for a drop down list.
  6. Select ‘Add Single Resource’.
  7. The Resource modal will appear.

Add A New Resource From Settings via .CSV or Excel Upload

How to add a new Team Resource via Settings .CSV or Excel Upload.

  1. Navigate to the Settings tab at the top right of the interface.
  2. Scroll to the second block entitled ‘Manage’.
  3. Click the first tab ‘Manage Resources’.
  4. The ‘Manage Resources’ modal appears on screen.
  5. Navigate to the ‘Add New Resources’ drop down list a the the top right hand side of the modal.
  6. Select ‘Add Multiple Resources’.
  7. An Upload Modal (pop-up) appears where you can add New Resource information directly within the field or via csv. or excel template. Please refer to bulk upload section

There is a Hub Planner CSV template which can be downloaded here

Open the template with your software (Recommend using Google Drive Spreadsheet or Excel) and add your content to the columns. Once done, download your file in .csv format and upload it.

When filling the CSV template, there are several options:

  • The Resource First Name is required
  • The Resource Last Name is required
  • All other fields are optional
  • The template has some dummy data included to help

Options include:

  • First Name (required)
  • Last Name (required)
  • First Name_Last Name
  • Last Name_First Name
  • Email
  • Group

You will need to select the role level of the resource

  • Team (default)
  • Admin
  • Acc Handler 1
  • Acc Handler 2
  • Contractor

Option to Invite/Don’t Invite the resource to Hub Planner

  • Invite (default)
  • Don’t Invite

To upload the CSV:

  • Navigate to ‘Settings’
  • Choose ‘Manage Resources’ from the left side bar
  • Click ‘Add New Resources’ on the top right side
  • From the options given, select ‘Add Multiple Resources’
  • Then simply upload your file from the computer

API

You can use the API to create new Resources in Hub Planner. Please refer to the API section.

The Resource Modal

As soon as we create a new resource, the Resource Modal pops up. This is where we will create and store information relating to the Resource. There are 7 tabs belonging to the resource modal.

  • Basic Information
  • Projects & Project Groups
  • Resource Billing Rates
  • Notes & Links
  • Custom Fields
  • Availability
  • Vacation & Calendars

Editing a Resource

Similar to resource creation, editing resources are handled directly in the resource Modals. Editing a resource can be done via the following methods.

  • Sidebar Menu
  • Scheduler “Resources” Menu
  • Settings (via “Manage Resources”)
  • CSV
  • API

Editing a Resource via the Sidebar Menu

Follow the steps below to edit an existing resource from the Sidebar Menu. Each resource in the sidebar has a small arrow icon to the right of it.

  • Click the right arrow button
  • Choose ‘Edit Resource” from menu
  • The Resource Modal (pop-up) appears where you can edit resource information

Manage Resources

Editing a Resource via the Scheduler Resource Menu

Follow the steps below to edit an existing project from the Scheduler Menu. Beside each resource on the scheduler is a three dotted sign.

  • Click on the three dotted sign next to a selected resource name
  • A pop up modal window appears
  • Choose ‘Edit Resource” from menu
  • The Resource Modal (pop-up) appears where you can edit Resource informationChoose “Add Single Project”

Editing a Resource via the Settings (“Manage Resources”)

Follow the steps below to edit an existing resource from the Sidebar Menu.

  • Navigate to “Settings” in the top right header
  • Choose “Manage Resources” from the left sidebar
  • Click “Edit” on any Resource and the Modal Appears

Use the csv file to update existing resource information. Please refer to the CSV Guide.
