What is MFA?

MFA stands for Multi-Factor Authentication. It is a security mechanism that requires users to provide two or more different forms of authentication to access your Hub Planner account. other examples being your email, Hubspot, any other systems or services.

Why is MFA important?

MFA is important because it adds an extra layer of security to the authentication process, making it harder for attackers to gain unauthorized access to your Hub Planner account. It is particularly useful in protecting sensitive information and preventing identity theft.

What are some examples of MFA?

Some examples of MFA include entering a password and receiving a text message with a verification code, using a biometric factor such as a fingerprint or facial recognition, or using a physical security token. In Hub Planner’s case we use a verification code via mobile app.

Whats 2FA? What’s the difference between MFA and 2FA?

They are similar. 2FA is a subset or form of MFA. 2FA requires the user to provide two different types of authentication factors to verify their identity. Whereas MFA is a broader term that encompasses 2fa.

How does MFA work in Hub Planner?

MFA works by requiring users to provide an additional forms of authentication before you can access Hub Planner. You will be required to download an identifier app that will provide you with a list of codes to activate your Hub Planner account. 

Is MFA necessary for all applications and services?

It is generally a good practice to use MFA for any application or service that contains sensitive information or has the potential to cause significant harm if compromised. However, the level of MFA required may vary depending on the risk associated with the application or service.

How can I enable MFA for my Hub Planner account?

It’s a very quick process involving just a few steps. Firstly, the Account Owner will need to install the MFA extension and enable the MFA authentication options in Hub Planner. (see steps below). Once enabled for the team. Each user will then be required to download an authenticator app, and connect with Hub Planner. (see steps below)

  1. Install the Business Leader extension via Settings -> Add/Remove Extensions.
  2. Configure MFA via Settings -> Authentication.

Is MFA mandatory in Hub Planner?

It can be. There are a few options. Firstly, MFA is a Business Leader extension. You will need to add this to your subscription via settings. Once added, you have the option to make MFA a mandatory Hub Planner login requirement. Alternatively you can make MFA an optional Hub Planner login practice.

How do I install the MFA extension?

Navigate to settings to install the MFA Business Leader extension.

  1. Settings -> add/remove extensions.
  2. Click ’Try Free’ or ‘Add Extension’ and confirm.
  3. Agree to the terms & conditions.
  4. Right after that you will be ready and set to start using the MFA extension.
  5. Navigate to the Authentication tab in Settings for setup.

Note: if you do not have access to install the MFA extension, you can request the account owner to do so.

How do I activate MFA on the team account?

Navigate to settings -> authentication. You will see an option to “Enable company-wide multi-factor authentication (MFA):

I have MFA enabled, now how does my team activate MFA on their profile?

Settings -> My Profile -> Configure MFA.

1 – Download the app

2 – Scan the QR code

3 – Enter the authentication code from the app

What happens once I activate MFA? Will it log everyone out?

Once MFA is configured, you and your team members will be asked to enter both your password and an authentication code from your mobile device every time when you log in to your account.

What if I forget my phone?

When downloading the authenticator app. You will also download the recovery codes too. As we can all forget our phones at some stage. Your second factor will be via a code from a mobile app. See Recovery Codes section below. 

Can MFA be hacked?

While no security measure is foolproof, MFA significantly increases the difficulty of hacking your account. It’s always important to stay vigilant and follow best practices for securing your Hub Planner account. Passwords can be stolen or guessed, but with MFA, an attacker would need both the password and the additional factor to gain access to your Hub Planner account.

What’s wrong with using a password?

Nothing except it doesn’t prove who you are.

Is MFA pre installed?

No. You need to install MFA from Settings -> Add / remove extensions.

How long is the OTP code valid for?

30 seconds.

What happens when I choose the emergency backup code to log in?

You forgot your phone, you can’t locate the recovery codes. Use emergency backup code. A code will be sent to your email address. Use this code when prompted to login to Hub Planner.

Can I get a code via email?

It will be sent to your profile email address.

Will everyone need to login when mandatory MFA is set up?

Once set up for mandatory MFA login. All users will be required to login

Can we skip mandatory MFA?

If your account is set to mandatory MFA then no. You can skip the pop up, but you will be constantly reminded – until you will be forced to activate the MFA.

Why does the MFA pop up keep appearing?

Your account is set to mandatory MFA. The MFA pop up notification to set up MFA provides you with a direct link to set up. You can time out the pop up for 5mins. Can I have MFA with login with Google?

Yes. It will ask you for your OTP once you login with google. Same as you would if you log in with user name and password.

MFA Recovery codes FAQ’s

Recovery codes are a set of ‘backup codes’ when logging into Hub Planner via MFA. Each code is a unique and secure number generated upon activating MFA in Hub Planner. These codes are a backup to help you regain access to your Hub Planner account in case you have forgotten or misplaced your login devise.

I forgot my phone, how do I login to Hub Planner?

No problem. Once you get to the OTP requirement, click ‘Email me the code’. You will now get an email to your profile email address on file.

I lost my recovery codes, how do I login to Hub Planner?

No problem. Login as normal. Once you get to the OTP requirement, click ‘Email me the code’. You will now get an email to your profile email address on file.

I can’t access my recovery codes, how do I login to Hub Planner?

No problem. Login as normal. Once you get to the OTP requirement, click ‘Email me the code’. You will now get an email to your profile email address on file.

I’ve lost my phone, I’ve lost my recovery codes? How can I login to Hub Planner?

No problem. Login as normal. Once you get to the OTP requirement, click ‘Email me the code’. You will now get an email to your profile email address on file.

Where can I save my Recovery codes?

Save them – copy or download codes to your device.

How do I re access the recovery codes?

From the file you downloaded. Or if you can’t locate them, you can also choose the emergency recovery code option too.

Where do the recovery codes save?

You can choose where they save on your computer. Choose the file location and save.

Can I use the recovery code again?

No, they are single time use only.

Can I get new set of recovery codes.

Yes. Click the option to download new recovery codes.

What if enter the incorrect code.

You can enter 10 wrong codes per minute before you are timed out of the login application. Then there is a timeout for 3 minutes.

I entered my OTP or recovery code but it has an error message and I can’t log in?

A couple of reasons.

  1. The OPT times out after 30 seconds. If you’ve entered the code after 30 seconds, you’ll need a new one.
  2. “You have exceeded the limit of calls for short period of time. Please try again in a few minutes”  – This means you entered the incorrect OTP or recovery code 10 times within 60 seconds? The system will automatically time you out from attempting to log in again for 3 minutes.
