TOIL (Time off in lieu) FAQ’s

What is TOIL (Time Off In Lieu)?

TOIL (Time Off In Lieu) is a feature offered by Hub Planner to help employees compensate for overtime worked by taking paid time off in lieu of overtime pay. It allows resources to accumulate time off hours for overtime worked, which can then be used to take time off from work at a later date.

TOIL refers to a policy where employees can take time off work in exchange for overtime hours worked, instead of being paid for those hours.

How to install TOIL?

Go to Settings -> Manage Extensions -> Add/Remove Extensions -> Time off in lieu (TOIL) -> Try Free

How does TOIL work?

    1. After you have installed the extension. Go to Settings and navigate to the sidebar menu and select Time in lieu (TOIL) to be able to set up your policies.

    2. Create a new policy according to your company procedures.

    3. Add/remove or change resources between policies by clicking on Manage Policies.

    4. Now, the TOIL policy will apply to all resources added to it. You can override this setting by navigating to the Resource modal in the Vacation & TOIL tab, and make the adjustments.

    5. Resources are able to request TOIL from the Vacation modal and submit them in Timesheets.

How do resources request TOIL?

Resources can request hours in the Vacation modal. Instead of selecting from Vacation days, choose Time off in lieu (TOIL) days.

What are the accrual rules for TOIL?

In TOIL settings you can define the accrual rules you want to implement for each policy. TOIL accrual rules can vary depending on company policies, employment agreements, or labor laws in a particular jurisdiction.

How can admins manage TOIL accrual and balances?

It can be defined on a role level. Roles that have the ability to approve TOIL can do so in Vacation and Timesheets.

How does TOIL appear on timesheets?

TOIL appears under scheduled as Time off in lieu, and it’s calculated based on the TOIL settings and scheduled time.

The TOIL approver roles have full rights on TOIL in timesheets.

Can I have more than one policy?

Yes, you can add multiple TOIL policies within Hub Planner. This allows organizations to tailor TOIL policies to different employee groups, departments, projects, or countries based on specific needs and requirements.

Can I assign more than one policy to a resource?

Only one TOIL policy can be assigned at a time to a resource. However, you can make adjustments and override some of the policy settings in the resource modal.

What does the frequency adjustment mean? Why would I use this?

The frequency adjustment in TOIL policies allows you to specify how often TOIL hours are accrued or reset. This adjustment can be useful for aligning TOIL accrual with pay periods, project milestones, or any other recurring schedule within your organization.

Can I merge vacation request using both TOIL and Vacation together?

Currently, you cannot merge vacation requests using both TOIL and vacation time together. You need to request them individually.

I don’t have enough TOIL for my vacation request – what should I do?

If you’re running low on TOIL, there are a few options you can explore. You may consider utilizing any available vacation days you’ve accrued, discussing alternative time-off arrangements with your manager, or even exploring the possibility of unpaid leave. All of these can be scheduled and requested in Hub Planner, in the scheduler and timesheets.

Do I need Vacation Ext to access TOIL?

Yes, the Vacation extension is needed. You will also need Timesheets too as the data is tracked from reported time.
